Siftral Privacy Policy
Last updated: October 09, 2026
This policy explains what information Siftral (“Siftral,” “we,” “us,” or “our”) collects through siftral.io and the Siftral platform, how we use it, and the choices you have. It applies to staffing firms and their authorized users (“you,” “firms”) and to the candidate data those firms upload to the platform.
1. Information we collect
Account and contact information. When you sign up for Siftral or submit a demo/contact request, we collect information like your name, company name, email address, and phone number.
Candidate data you upload. To provide the screening service, firms upload job descriptions and candidate materials (resumes/CVs in PDF or DOCX, or CSV exports from an applicant tracking system). This may include candidates’ names, contact details, work history, and other information contained in those documents.
Screening outputs. Siftral generates screening results, rankings, and written reasoning based on the job descriptions and candidate data you upload, along with drafted outreach and submittal content.
Contact form submissions. If you use the “Book a demo” form, we collect the name, company, email, phone number, and any comments you provide, solely to respond to your request.
Basic technical/log data. Like most web services, our infrastructure providers generate standard technical logs (e.g., timestamps, error logs) as part of operating the platform.
We do not collect payment card details directly. Any billing is handled through your payment provider, not stored by Siftral.
2. How we use this information
- To provide the core service: parsing job descriptions, screening and ranking candidates, drafting outreach and submittals, and displaying results in your dashboard.
- To respond to demo requests and other inquiries submitted through the site.
- To operate, maintain, and improve the platform (for example, diagnosing errors).
- To communicate with you about your account or in response to something you've asked us.
We do not sell candidate or firm data to third parties, and we do not use it for advertising.
3. How AI processing works
Screening, ranking, and drafting are performed using a third-party AI/large-language-model provider, solely to generate the outputs described above. Job description and candidate data sent to these providers for this purpose is not used to train the underlying AI models. Every AI-generated result is intended to be reviewed and approved by your team before any action, such as sending outreach, is taken. Siftral does not act on candidates automatically without your review.
4. Who we share data with
We share data only with trusted third-party service providers who help us build and operate Siftral, for example cloud hosting and data storage, and the AI processing used to generate screening results, and only as needed to provide the service. These providers are bound by their own confidentiality and data-protection obligations, and are not permitted to use your data for their own purposes.
We do not sell your data, and we do not share it for advertising purposes.
We may also disclose information if required by law, or to protect the rights, safety, or property of Siftral or others.
5. Data retention
Candidate and job data is retained on Siftral’s systems for up to 30 days to support screening history and review, then automatically and permanently deleted, whether or not a firm has cancelled its use of Siftral. Contact-form inquiries are retained only as long as needed to respond to them. When you delete a screening run it is held for 7 days so it can be restored, unless you choose permanent deletion, which removes it immediately. We keep a deletion log that records when a screening run was deleted, restored or permanently removed, who did it (their account email, or the system for automatic cleanups), the job title, your firm’s name and client reference, and any reason given. Candidate documents and contact details are not kept in this log. The deletion log is kept for record-keeping and is not removed in the 30-day cleanup.
6. Cookies
Siftral uses only the cookies/session storage strictly necessary to keep you signed in to your dashboard. We do not use advertising or analytics tracking cookies on siftral.io.
7. Security
We take reasonable technical and organizational measures to protect your data. See our Security Policy for details.
8. Your choices and rights
You can request access to, correction of, or deletion of your account or candidate data by emailing azfar@siftral.io. We’ll respond as promptly as we can. Signed-in users can also delete their firm’s screening runs themselves from the dashboard at any time.
9. International users
Our database is hosted in the United States (AWS US East, N. Virginia). Siftral’s service providers may process data in different countries as part of operating their infrastructure. We haven’t yet formally certified compliance with specific regional data-protection frameworks, such as GDPR or Australia’s Privacy Act. If that’s something a prospective client needs confirmed, please raise it with us directly.
10. Children’s privacy
Siftral is a business tool for staffing firms and is not directed at, or knowingly used to collect information from, children.
11. Changes to this policy
We may update this policy as Siftral evolves. We’ll update the “last updated” date above when we do.
